Office Assistant

We are looking for an organized and detail-oriented office assistant to join our team in Columbia Heights, Minnesota. In this long-term contract role, you will play a key part in maintaining smooth office operations by performing a variety of administrative and clerical tasks. The ideal candidate will have strong multitasking abilities and excellent communication skills.

Responsibilities:

  • Greet and assist visitors, ensuring a welcoming and attentive environment.
  • Answer and manage incoming calls, directing inquiries to the appropriate personnel.
  • Organize and scan documents to maintain accurate and accessible digital records.
  • Perform general clerical tasks such as filing, data entry, and scheduling.
  • Support daily office operations by managing supplies and coordinating with vendors.
  • Collaborate with team members to ensure efficient workflow and task completion.
  • Handle correspondence and distribute mail as needed.
  • Maintain confidentiality and accuracy in handling sensitive information.
  • Assist in creating reports and presentations as required.
  • Provide bilingual support in Spanish for communication and documentation when necessary.
  • Requirements:

    • At least 1 year of experience in an administrative or office support role.
    • Proficiency in receptionist duties, including answering inbound calls and managing a front desk.
    • Strong organizational skills and attention to detail.
    • Ability to handle document scanning and digital filing systems.
    • Basic knowledge of office equipment and software.
    • Excellent verbal and written communication skills.
    • Bilingual proficiency in Spanish is preferred.
    • Ability to work independently and as part of a team.
