About the Position The College of Education is home to more than 1,200 credential and graduate students. The College’s work focuses on closing the opportunity gap and credentialing the largest number of teachers of any public institution in the state of California, while maintaining the largest Ed.D. program in the CSU system. We seek an exceptional individual to join our Educational Leadership team as the Administrative Support Coordinator I. Responsibilities Under general supervision, the Administrative Support Coordinator I independently provides a full range of administrative, financial, technical and support services for the Department of Educational Leadership, serving approximately three hundred students in master’s, Preliminary, Professional Administrative Credential, and doctoral programs. Responsibilities include coordination of room reservation and event planning for department meetings, professional development events, retreats and other special projects; serving as office lead and overseeing hiring, training, and development of student assistants; responding to problems and needs of students and faculty requiring confidentiality and research; interpreting and resolving problems based on knowledge of university policies and procedures; overseeing department resources including office supply inventory, purchases, and technology services; researching information, compiling data, and preparing reports; planning and coordinating schedules of classes, room assignments, textbook orders, and space utilization with other college departments; assisting the chair in preparing reports for the Dean’s Office, VPAA, state and national credentialing agencies, and the Chancellor’s Office; maintaining budget for multiple accounts and associated procurement cards; reconciling monthly Operating Expenses and Equipment (OE&E) budget; setting up and processing supervisor mileage reimbursements; maintaining contact with campus offices such as travel, procurement, the bookstore, and scheduling; verifying and inputting changes for each editing cycle of the schedule and preparing required reports for the university scheduling office; generating and maintaining records of part‑time faculty including entitlements, contracts, and faculty separations; updating the department website and serving as the Department Information Technology Coordinator (DITC). Other duties as assigned.
Essential Qualifications
High School diploma or equivalent and four years of progressively responsible experience in general office, clerical or secretarial work.
Thorough, detailed knowledge of applicable university infrastructure, policies, and procedures.
Strong knowledge of English grammar, punctuation, and spelling.
Proficiency with office systems and a range of technology, systems, and software packages.
Ability to independently manage multiple priorities and projects.
Ability to apply a variety of policies and procedures where specific guidelines may not exist.
Working knowledge of budget policies and procedures.
Competence in standard business math, including ratios, percentages, tracking financial data, and making simple projections.
Skill in drafting and composing correspondence and standard reports.
Ability to handle effectively a broad range of interpersonal contacts, including at higher levels and sensitive contexts.
Successful completion of a satisfactory background check, including a criminal records check.
Preferred Qualifications
Experience working in a higher education setting, specifically post‑graduate programs and in a large academic department.
Experience or knowledge of a Content Management System (CMS).
Working knowledge of California State University, Fullerton’s budget policies and procedures.
Experience overseeing the work of others, such as student assistants.
Ability to quickly learn and interpret policies and procedures.
Strong customer service experience.
Ability to provide support for department events, College of Education Credential, and Commencement ceremonies.
