About the Position The College of Education is home to more than 1200 credential and graduate students. The College of Education's work focuses on closing the opportunity gap. The College's impact is notable given the fact that we credential the largest number of teachers of any public institution in the state of California and have the largest Ed.D. program in the CSU system. We seek an exceptional individual to join our Educational Leadership team as the Administrative Support Coordinator I. Responsibilities
Provide a full range of administrative, financial, technical and support services for the Department of Educational Leadership.
Coordinate room reservations and event planning for department meetings, professional development events, retreats, and other special projects.
Serve as office lead and oversee hiring, training, and development of student assistants.
Respond to problems and needs of students and faculty that may require confidentiality, research, interpreting, and resolving problems based on university policies and procedures.
Oversee department resources, including general office supply inventory, purchases and technology services.
Research information, compile data and prepare reports for department needs.
Plan and coordinate schedule of classes, room assignments, textbook orders, and space utilization in coordination with other college departments.
Assist the chair in preparing reports for the Dean's Office, Vice President of Academic Affairs (VPAA), state and national credentialing agencies, and the Chancellor's Office.
Maintain budget for several accounts, reconcile monthly Operating Expenses and Equipment (OE&E) budget, and process supervisor mileage reimbursements.
Maintain contact with campus offices such as travel, procurement, the bookstore, and scheduling.
Verify and input changes for each editing cycle of the schedule and prepare required reports for the university scheduling office.
Generate and maintain records of part‑time faculty, including entitlements, contracts, and faculty separations.
Update the department website and serve as the Department Information Technology Coordinator (DITC).
Perform other duties as assigned.
Essential Qualifications
High School diploma or equivalent and four years of progressively responsible experience in general office, clerical or secretarial work or equivalent.
Thorough knowledge of applicable university infrastructure, policies, and procedures.
Thorough knowledge of English grammar, punctuation, and spelling.
Proficiency with office systems and ability to use a range of technology, systems, and software packages.
Ability to independently handle multiple work unit priorities and projects.
Ability to apply a variety of policies and procedures when specific guidelines may not exist.
Working knowledge of budget policies and procedures.
Ability to perform standard business math, including calculating ratios and percentages, tracking financial data, and making simple projections.
Ability to draft and compose correspondence and standard reports.
Ability to handle effectively a broad range of interpersonal contacts, including those at a higher level and those sensitive in nature.
Background check (including a criminal records check) must be completed satisfactorily and is required for employment.
Preferred Qualifications
Experience working in a higher education setting, specifically post‑graduate programs and in a large academic department.
Experience or knowledge of Content Management System (CMS).
Working knowledge of California State University, Fullerton's budget policies and procedures.
Experience overseeing the work of others, such as student assistants.
Ability to quickly learn and interpret policies and procedures.
Strong customer service experience.
