Overview
The Inventory Control & Sample Room Coordinator is a mission‑critical operational role responsible for the physical, financial, and system control of all inventory and samples within the showroom. This role protects working capital, gross margin, and brand standards by ensuring samples and inventory are accurately tracked, properly used, and aligned with active sales opportunities. In a luxury showroom, samples are a sales tool—but unmanaged samples become a profit leak. This role exists to ensure discipline, visibility, and accountability across inventory and sample activity. Reporting Structure
Reportsto: Operations Manager/General Manager Works closely with: Outside Sales Representatives Showroom Manager Accounting (AP/AR) Logistics & Customs Brokers Core Responsibilities
Sample Room Ownership (Primary Responsibility) Maintain complete control of all sample assets, including: Fabric and wallcovering books Furniture and lightings samples or mockups Finish chips, materials, and art samples Stored and displayed to luxury showroom standards Track sample lifecycle from receipt to return, conversion, or retirement Perform routine cycle counts and reconciliations Sample Request, Approval & Tracking Enforce the rule that no samples are ordered or released without an active CRM opportunity Verify approvals for: Sample ordering Coordinate ordering, receiving, logging, and distribution of samples Import, Duty & Cost Control Track all costs related to sample imports, including: International and domestic freight Customs duties Coordinate with Accounting to: Code costs correctly Allocate costs to projects or recovery accounts Ensure all sample and inventory activity is documented in CRM Maintain accurate data for: Sample status and location Associated client or designer Conversion to order Collaboration with Sales & Showroom Teams Support Inside and Outside Sales with: Sample pulls and presentations Designer meetings and showroom visits Sample availability lead times Act as the gatekeeper for disciplined sample usage Showroom Presentation & Standards Remove discontinued, damaged, or outdated samples promptly Support showroom merchandising initiatives Reporting & KPIs Prepare regular reports on: Escalate risks related to excess samples pending or low conversion Sample cost recovery percentage Required Skills & Qualifications
3+ years experience in inventory control, showroom operations, or logistics (luxury or design trade preferred) Experience with CRM and inventory systems Personal Attributes
Brand‑conscious with a luxury mindset Work Environment & Expectations
Physically active (handling samples and materials) Occasional after‑hours support for events or installs Professional appearance consistent with luxury showroom standards Compensation & Growth
