The
Project Accounting Analyst
–
Construction & Development (C&D) Accounting
is responsible for overseeing financial and operational processes related to project tracking, cost management, vendor setup, and invoice workflow. This role ensures accuracy, compliance, and efficiency across the construction and development portfolio while partnering closely with accounting, project management, and business operations teams.
Key Responsibilities
Establish and maintain accurate job and category codes within the accounting system based on project budgets, contracts, and corporate policies.
Collaborate with construction and development teams to validate project setup, funding sources, and budget allocation.
Monitor and reconcile job cost activity to ensure accuracy throughout the project lifecycle.
Coordinate vendor onboarding and verify qualifications to meet internal and regulatory standards.
Maintain vendor master data, including updates to payment terms, addresses, and banking information.
Serve as a resource for vendors and internal teams regarding onboarding status, compliance issues, and payment inquiries.
Review and validate vendor invoices for accuracy, coding, and compliance with contract and budget terms.
Coordinate invoice approvals and monitor workflow to ensure timely processing.
Identify and resolve discrepancies related to invoice amounts, documentation, or coding.
Evaluate operational processes and recommend improvements related to automation, standardization, and internal controls.
Support the implementation of new systems, integrations, and workflow enhancements.
Develop and maintain process documentation and training materials.
Partner cross-functionally to streamline reporting, approval, and compliance processes.
Track, analyze, and report key operational and financial metrics to management.
Qualifications
Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
3+ years of experience in accounting or finance; experience within construction, real estate development, or project-based industries preferred.
Located in or willing to relocate to the Louisville, KY area.
Comfortable working in a hybrid schedule (3 days in office).
Experience with construction accounting systems (Yardi preferred).
Strong background in job cost accounting, vendor management, and invoice processing.
Excellent analytical and problem-solving abilities with strong attention to detail.
Effective communicator with the ability to collaborate across accounting, operations, and project teams.
Proficient in Excel and accounting systems, with the ability to work with and reconcile large data sets.
Demonstrated ability to identify process gaps and implement improvements.
Highly organized, deadline-driven, and adaptable.
Must be legally authorized to work in the U.S. without employer sponsorship.
Compensation and Benefits Determining compensation for this role (and others) at Vaco/Highspring depends upon a wide array of factors including but not limited to the individual’s skill sets, experience and training, licensure and certifications, office location and other geographic considerations, as well as other business and organizational needs.
