The Payroll Specialist is responsible for accurately processing payroll for hourly and salaried employees within a fast-paced manufacturing environment. This role ensures compliance with federal, state, and local regulations, supports union and non-union payrolls as applicable, and partners with HR and Finance to maintain accurate employee pay records.
Key Responsibilities
Process weekly/bi-weekly payroll for hourly and salaried manufacturing employees
Review and validate timekeeping data, including overtime, shift differentials, bonuses, and premiums
Ensure accurate payroll deductions for benefits, garnishments, taxes, and 401(k) contributions
Maintain payroll records and employee data within payroll and HRIS systems
Reconcile payroll reports and resolve discrepancies in a timely manner
Ensure compliance with federal, state, and local wage and hour laws
Support payroll audits and year-end activities, including W-2 preparation
Coordinate with HR on new hires, terminations, pay changes, and leave tracking
Respond to employee payroll inquiries professionally and confidentially
Assist with union payroll rules, CBAs, and job costing (if applicable)
Qualifications
Associate’s or Bachelor’s degree in Accounting, Finance, Business, or related field preferred
2+ years of payroll processing experience, preferably in a manufacturing environment
Strong knowledge of payroll laws, tax regulations, and wage and hour compliance
Experience with timekeeping systems and payroll software (ADP, UKG, Paychex, Workday, or similar)
Proficiency in Microsoft Excel (VLOOKUP, pivot tables preferred)
High attention to detail and strong organizational skills
Ability to handle confidential information with discretion
Preferred Experience
Union payroll and collective bargaining agreement experience
Multi-state payroll processing
Job costing or labor distribution experience
