Receptionist Job Description
The DWIHN Customer Service Receptionist Specialist is responsible for greeting visitors, directing incoming calls and managing the DWIHN Administrative Office Reception area. This position reports to the Director of Customer Service or their Designee.
Principal Duties And Responsibilities:
- Greet and assist visitors, clients, and employees in a courteous manner.
- Manage incoming calls, directing them to appropriate departments, and taking accurate messages.
- Coordinate appointment scheduling and maintain an organized calendar for meetings and events.
- Perform administrative tasks including data entry, filing, and managing correspondence.
- Ensure the reception area is kept tidy and presentable, equipped with necessary materials.
- Support other administrative staff with various tasks as needed to promote a smooth workflow.
Qualifications:
- High school diploma or equivalent.
- One year experience as a receptionist or in a similar administrative role is preferred.
Knowledge, Skills And Abilities(KSA's):
- Effective written and verbal communication skills.
- Knowledge of computer software applications.
- Cultural sensitivity and the ability to assist people of diverse abilities, cultures, sexual orientation, economic status, race, ethnicity, language, and gender.
- Ability to manage multiple tasks.
- Healthy respect for the needs and interest of the individuals who receive services.
- Proficient organizational skills.
- Proficient with Microsoft Office Suite and other office management software.
- Excellent verbal and written communication skills, with a strong attention to detail.
- Ability to multitask and manage time effectively in a fast-paced environment.
- Professional demeanor and appearance, with a strong customer service orientation.
Working Conditions:
Work is performed onsite in an office setting. Office Hours: Monday- Friday 8:00am- 4:30pm.
