Position Summary The Chemistry and Biochemistry Administrative Coordinator (Administrative Support Coordinator II) works closely with the department chair and faculty to coordinate and manage all departmental administrative functions. The role involves scheduling, handling lecturer and student contracts, tracking deadlines, and maintaining calendar events. The coordinator serves as a liaison between the department and the Dean’s office, attends meetings and records minutes, and supports the department faculty personnel committee with confidential documentation and file management. Additional responsibilities include assisting search committees with applicant information, planning special events, maintaining records, monitoring staff attendance and timekeeping, processing time‑sheets, and providing high‑level office support to students, faculty, and community members.

Essential Qualifications

High School diploma or equivalent with five years of progressively responsible general office, clerical, or secretarial experience.

Comprehensive knowledge of university policies, systems, and procedures.

Excellent command of English grammar, punctuation, and spelling.

Proficiency with office software packages and technology.

Ability to manage multiple priorities, interpret policies, and exercise judgment and discretion.

Strong troubleshooting skills and responsiveness to inquiries.

Capacity to analyze operational problems, develop solutions, and make accurate projections.

Effective communication and interpersonal skills at all levels.

Negotiation and persuasion skills to achieve results and expedite projects.

Background check, including a criminal records check, must be completed satisfactorily.

Preferred Qualifications

Bachelor’s degree from an accredited institution.

Experience working in an academic department.

Knowledge of PeopleSoft/Oracle Common Human Resources System (CHRS).

Experience in a lead administrative role with progressive responsibility.

Proficiency with PC and Mac computers.

Experience coordinating departmental events and large meetings.

Experience with departmental budgeting, recruitment, work order placement, curriculum development, scheduling, and student advisement/registration.
