We’re a patient-first Functional Women’s Health practice focused on root-cause care, compassionate communication, and empowering women through personalized plans. Our front desk team is the face of the practice — friendly, organized, and clear — and plays a huge role in creating calm, confident patient experiences.
Position Summary We’re hiring a warm, professional front desk coordinator to manage check-ins/check-outs, scheduling, payments, and day-to-day patient communications. This role combines administrative accuracy with exceptional customer service and requires someone who can multitask without losing kindness or attention to detail.
Key Responsibilities
Greet patients and manage efficient, welcoming check-in/check-out.
Schedule and confirm appointments (phone, email, portal), manage cancellations and waitlists.
Collect payments and process superbills for each patient, and perform end of day reconciliation and deposits (experience with POS systems helpful).
Verify and enter accurate patient demographic & insurance information if needed
Respond to non-clinical patient questions and route clinical concerns to nursing/providers promptly.
Maintain accurate patient records in the EHR and ensure intake forms are completed prior to visits.
Manage secure handling of patient communications (phone, portal, SMS) in accordance with HIPAA.
Perform daily administrative tasks, including patient reminders, intake packet prep, billing, etc.
Keep front desk area organized and stocked; coordinate with clinical team for smooth daily flow.
Qualifications
1–3+ years front desk or medical administrative experience (outpatient and/or women's health preferred).
Strong customer service and communication skills — calm, empathetic, professional.
Comfortable handling money, basic reconciliation, and following payment policies.
Familiarity with EHR/practice management systems; experience with Practice Fusion, patient portals, or POS systems (e.g., Square) is a plus.
Excellent computer skills, attention to detail, and ability to prioritize in a fast-paced environment.
Reliable, punctual, and team-oriented with a desire to learn about Functional Medicine and women’s health
