Account Services Manager (Part-Time, Hybrid)

We are seeking a detail-oriented and highly organized
Account Services Manager
to support both Sales and Operations teams by managing all aspects of
wholesale order processing . This role is responsible for ensuring accurate, timely execution of B2B orders while serving as a key liaison internal teams and the 3PL/warehouse. The ideal candidate thrives in a fast-paced environment and maintains high standards for accuracy and service.
Key Responsibilities
Own end-to-end wholesale order management, including manual and EDI order entry in
NetSuite
Manage order routing, invoicing, allocations, and RTV (Return to Vendor) transactions
Partner daily with the
3PL/warehouse
to ensure accurate pick, pack, ship, and on-time delivery
Consolidate order status data and prepare weekly and monthly reports for Sales and Operations
Monitor inventory levels and proactively identify stock shortages or fulfillment risks
Resolve order, pricing, invoicing, and EDI discrepancies to maintain customer satisfaction
Oversee timely transmission of invoices and account statements via email and EDI
Provide supporting documentation to wholesale customers (BOLs, PODs, invoice copies)
Review, negotiate, and resolve customer chargebacks with appropriate documentation
Process and track gratis, PR, marketing, and sampling requests
Alert Sales and Finance teams regarding past-due balances or credit holds
Qualifications
BA/BS degree in Business, Finance, or a related field preferred
2–3+ years of experience in
wholesale order processing , EDI, and 3PL coordination
Strong working knowledge of
NetSuite
(required)
Intermediate to advanced
Excel
skills (VLOOKUPs, pivot tables, formulas)
Experience supporting wholesale customers such as
Sephora
and/or
Ulta
is a plus
Beauty, cosmetics, or CPG industry experience preferred
Ability to manage multiple priorities with a high level of accuracy and urgency
Part-time:
20–30 hours per week
Duration:
Approximately 20 weeks (maternity leave coverage)
Pay:
Up to $30/hour (DOE)
