Position Summary The Referral Coordinator’s primary responsibility is to assist the Special Care & Geriatric faculty with patient care management across various service areas. This position serves as liaison between UNC Health providers and ASOD to provide timely consultations, evaluations, and medical clearance needs.

This role ensures efficient patient coordination for the Special Care & Hospital Oral Medicine group and is responsible for scheduling patients who require specialized treatment, organizing and coordinating provider schedules.

There are two components of this position: patient care and administration.

Patient Care Acts as the primary point of contact for UNC Health providers for patients who need dental clearance evaluation and treatment for head and neck cancer radiation therapy, chemotherapy, bone marrow transplant, and solid organ transplants.

Responsible for contacting patients treated in the Emergency Room setting to collect and update insurance information when notified by an attending or resident about treatment rendered at UNC Health.

Contact referred patients, appoint them, and register them into all required systems. Frequently communicates with referring doctors to obtain all diagnostic reports and scans information into required systems so that files can be accessed by other staff. All relevant documents and information, including faculty/surgeon notes, must be communicated and disseminated in a timely manner.

Ensure prior approvals are received prior to treatment being rendered on the date of service. Disseminate this information to other providers involved in the care and treatment of the patient. Collect co‑payments and deposits for OR and clinic‑based treatments.

Administration Assist the faculty/surgeon with correspondence and communication with referring health care providers. Validate and update financial eligibility information for special programs (Ryan White, Veteran's Leukemia & Lymphomas Society patients) on date of service.

Provide front desk and phone coverage as needed; process and route prescription requests and ensure emergent, urgent, and acute issues are routed to providers in a timely manner.

Minimum Education and Experience Requirements High school diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.

Required Qualifications, Competencies, and Experience

Excellent communication, interpersonal, organizational, and problem‑solving skills, and the ability to develop and maintain a positive rapport with patients, faculty members, management, team members, and referring providers.

Ability to adapt to a constantly changing environment.

Ability to maintain composure and professionalism when exposed to stressful situations.

Understanding of the financial consequences of each patient interaction and the opportunity cost of a negative first impression to the revenue and goodwill generated.

Working knowledge and experience with Microsoft Office Suite.

When appointing patients, expected to learn, understand, and utilize knowledge of various medical insurance plans (participating and non‑participating providers).

Preferred Qualifications, Competencies, and Experience

Experience working in a medical/dental practice or medical/dental field with patient interaction, or an equivalent combination of experience and education.

Undergraduate Degree, College Certificate, or Technical School Certificate in a healthcare‑related area.

Working knowledge of EMR software (specifically EPIC).

Special Physical/Mental Requirements Ability to remain calm with a positive customer service attitude.
