Job Purpose and Reporting Structure The Procurement Administrator, under the direction of the Barley & Logistics Supervisor, is responsible for working with new and existing vendors supporting the barley procurement activity. The role has accountability for maintaining farmer and commercial contract entry and is heavily involved in the execution and payment upon the completion of the contract’s life span. The position is responsible for accuracy and monitoring of all procurement activity within MENA systems, and for collaborating with and leading internal stakeholders from across the MENA business to ensure proper communication and reporting of activities. The Administrator works closely with procurement to ensure successful customer and supplier experiences throughout the MENA geography.

Essentials Duties and Responsibilities

Manage and create all material purchase orders; set up contracts and maintain pricing, variety and crop year in SAP for raw materials for Great Falls and support Winona and Winnipeg, including large commercial contracts.

Enter inbound and outbound tickets for all commercial outside elevators and commercial truck/rail deliveries in Great Falls, including grades, weights and grower names.

Process Purchase Orders and Purchase Order amendments accurately in SAP, ensuring proper arbitration calculations are reflected in commercial contracts.

Enter all railcar numbers, seal numbers, weights, quality and shipping details for Great Falls, and support Winnipeg and Winona.

Record all internal transfers from outside storage facilities into Great Falls, and support Winona and Winnipeg.

Maintain quality and unload recaps directly with the MENA corporate laboratory.

Track quality sample data to indicate outstanding quality yet to be delivered.

Maintain and update byproduct entry of monthly activity so that invoicing can occur.

Analyze, identify and fix contract errors to ensure proper application of grower contracts.

Verify and execute weekly payments of farm suppliers, ensuring proper discounts and checkoffs have been applied.

Verify and execute weekly payments of commercial vendors, ensuring proper discounts have been applied.

Coordinate with other back‑office partners to ensure proper application of contracts and avoid negative financial impact.

Maintain relationships with back‑office suppliers to promote strong partnerships and effective communication.

Identify and implement process improvements across departments.

Communicate with Procurement teams to anticipate upcoming PO volume, orders, and cancellations.

Review order quantities and place orders as needed for commercial deliveries.

Work with the accounting department to resolve any payment issues for supply chain shipments in Winnipeg, Great Falls and Winona.

Maintain high competency with raw material transactions in SAP.

Maintain and update commercial and farm terms, conditions, and discounts in SAP.

Play a key role on the procurement teams in Great Falls, Shaunavon, and Milwaukee in leveraging knowledge of SAP for data input and retrieval, as well as Anaplan.

Qualifications Required

High School Diploma or Associate Degree in Supply Chain, Business Administration, or a related field (experience may be considered in lieu of education).

Minimum of 2 years of grain industry experience.

Minimum of 2 years of SAP experience, preferably in food processing or agriculture.

Excellent keyboard skills. Intermediate level skills with Excel, PowerBI, and SharePoint.

Analytical skills – ability to use reasoning to solve problems.

Highly detail‑oriented – ability to pay attention to minute project or task details.

Strong communication (oral & written) – effectively communicates with others using various methods and tools.

Problem‑solving ability – proactively finds and introduces solutions to work‑related problems.
