The position performs highly complex administrative duties, serves as the point of contact for the Associate Commissioner of State Hospitals, and assists in developing and maintaining administrative processes, routing and tracking of memos, reports and other executive assignments, and various projects and activities. The Executive Assistant is highly organized, detail-oriented, and works under minimal supervision.
Essential Job Functions (EJFs)
Assist with the flow of the HHS System processes and related duties, ensuring compliance with agency guidelines. (15%)
Provide advanced professional assistance to the Associate Commissioner of State Hospitals and Director of Operations; communicate administrative matters to agency executives, management, and staff; coordinate all travel arrangements. (20%)
Review and process incoming mail and correspondence, monitor document and correspondence control systems, prepare office correspondence, reports, and memorandums, and maintain a large file tracking system. (20%)
Act as a point of contact and liaison with other executive leadership offices to coordinate assignments, draft timely responses to routine inquiries, handle mail, review, edit, and finalize documents for the Associate Commissioner’s signature, and coordinate work with other support staff. (20%)
Coordinate general office duties such as purchasing non‑standard office supplies, serve as point of contact and coordinator for records retention, assist with planning and organizing events. (20%)
Perform other duties as assigned, including participation in disaster response or Continuity of Operations (COOP) activation. (5%)
Knowledge, Skills and Abilities (KSAs)
Knowledge of standard office practices and administrative procedures; agency functions and structure.
Skill in the use and operation of personal computers and software applications (Outlook, Word, Excel, PowerPoint, SharePoint, Adobe, TEAMS).
Skill in verbal and written communication; composing, proofing, editing memos, letters, and reports; excellent interpersonal skills.
Skill in organizing and tracking information and assignments.
Ability to handle high-level administrative issues, manage multiple tasks, prioritize work activities, and work under pressure.
Ability to implement administrative procedures and evaluate their effectiveness; develop, maintain, and monitor tracking systems and filing systems.
Ability to work well with others in a team environment; establish and maintain effective relationships with managers, supervisors, co-workers, and other professionals; provide good customer service.
Initial Screening Criteria
Bachelor’s Degree (education and experience may be substituted year‑for‑year).
Minimum three (3) years of experience with executive level coordination, written communications, scheduling meetings and managing calendars.
Five (5) years of experience with Microsoft Suite products.
Required Background and Eligibility Checks
Applicants must pass a fingerprint criminal background check, pre‑employment drug screen, and registry checks including the Client Abuse/Neglect Reporting System (CANRS), Nurse Aid, Medication Aide and Employee Misconduct, List of Excluded Individuals/Entities (LEIE).
Males ages 18‑25 must be registered with the Selective Service.
All applicants must be at least 18 years of age to be considered for employment at a state‑operated facility (Waco Center for Youth applicants must be 21).
