Position Summary The Logistics Coordinator supports the Sales, Service and Parts departments by efficiently and profitably managing the pickup and delivery of equipment. This role serves as the central point of contact for scheduling all transportation requests received from Sales Managers, Service Managers, and Parts Support. The Logistics Coordinator ensures high service levels, regulatory compliance, and optimal utilization of company and contracted transportation resources.
Key Responsibilities
Optimize vehicle assets to improve routing, maximize capacity, and ensure timely pickups and deliveries.
Serve as central scheduler for all internal transportation requests.
Coordinate with 3rd Party vendor transport companies and maintain records of approved vendors and qualification requirements.
Accurately post all transportation related charges for services provided.
Perform other duties as assigned by leadership.
General knowledge of FMCSA, DOT & IFTA Fuel tax regulations and reporting requirements.
Manage fixed asset mobile fleet to optimize uptime and life‑cycle timelines.
Maintain mobile fleet certifications to include registrations, fuel tax certificates, IFTA fuel tax submissions, DOT inspections, etc.
Procure and dispose of vehicles/equipment in collaboration with the Inventory Director and Branch Representative.
Ensure compliance with all Federal, State and local regulations related to transport, driver operations, reporting and permitting.
Maintain a working knowledge of machinery and vehicle capabilities to support scheduling and routing decisions.
Manage vehicle registration and preventive maintenance schedules to ensure compliance.
Oversee driver staffing, compliance, coaching and development, including coordination with contracted vendors.
Review and approve driver hours for payroll.
Support ongoing professional development efforts, including coaching and change management practices to build an effective team.
Manage & enforce DOT Medical Certificates and Driver Files, FMCSA regulations and Clearinghouse regulations for all DOT/CDL drivers as required by law.
Perform yearly DMV checks for all DOT drivers.
Make sure all DOT drivers perform road tests and file in driver files.
Analyze logistical data and operational reports to identify trends and continuous improvement opportunities.
Recommend process enhancements to improve efficiency, reduce costs and elevate service levels.
Required Experience & Skills
Proven experience in logistics coordination, dispatching, fleet management activities including vehicle maintenance/registration schedules, driver assignments and compliance with Federal, State and local laws and safety standards.
Experience scheduling outside 3rd party transportation vendors and managing vendor qualifications and compliance requirements.
Proficiency with basic computer applications and dispatch software.
Basic understanding of machinery, equipment and vehicle capabilities.
Strong verbal and written communication skills with the ability to interact professionally over the phone and in person.
Demonstrated ability to multitask, manage priorities and adapt to changing demands in a fast paced environment.
