Job Description The Front Office Coordinator is the first point of contact for patients and plays a critical role in daily front desk operations. This position supports patient flow by handling registration, scheduling, insurance verification, phone coverage, and payment collection while ensuring accuracy, confidentiality, and a positive patient experience.
Key Responsibilities
Greet and assist patients in a friendly, professional manner
Register patients and maintain accurate demographic and insurance information
Schedule, confirm, and update appointments; monitor schedules for changes
Answer and route incoming phone calls promptly
Collect co‑pays and outstanding balances and process payments
Prepare and maintain patient records within the EHR system
Assist with patient check‑out and schedule follow‑up visits
Process forms, documentation, and medical record requests
Support daily charge and payment posting and basic reporting
Maintain office supply inventory and assist with administrative tasks
Adhere to HIPAA guidelines and office policies
Collaborate with team members to support smooth office operations
Qualifications
High school diploma or equivalent
Prior healthcare or front desk experience preferred
Strong customer service and communication skills
Ability to multitask and stay organized in a fast‑paced environment
Comfort using computers, phones, and standard office equipment
Professional demeanor and commitment to confidentiality
Additional Details
Schedule: Monday‑Friday, 8:30 AM–5:00 PM (occasional closing shift until 6:30 PM)
Includes two weekend shifts per month – only 2½ hour shift on those days
