Administrative Coordinator Location: Newton, MA 02462. Fully onsite. Schedule: Monday – Friday, 8:00 AM – 4:30 PM (40 hours; 30‑minute unpaid lunch break). 6+ months temp‑to‑perm potential. Department: Administration support for NWH Surgical Specialties.

Role overview: This role sits at the front desk and supports clinical scheduling and front‑desk check‑in.

MUST HAVES

Previous front desk/customer service experience in healthcare.

Previous experience working with surgeons or clinical scheduling is preferred.

Front desk scheduling experience in EPIC and collecting co‑payments.

Location Newton‑Wellesley Hospital main campus (2014 Washington Street, Green Building, Newton, MA).

Schedule Full‑time, 40‑hour practice assistant to support multispecialty surgery onsite Monday through Friday from 8:00 am to 4:30 pm.

Support Responsibilities

Provides departmental support by performing receptionist and clerical duties.

Schedule patient appointments.

Answer telephone system promptly and gather screening information; take, relay, and manage messages or provide routine information. Retrieve voicemail messages, return calls, and forward messages as needed.

Referral management and health insurance payor review.

Organize and maintain patient records, logs, and other controlling systems; retrieve files as needed. Develop and maintain systems to assure accurate, confidential, retrievable information.

New patient coordination.

Other special projects and administrative tasks that are assigned.

Qualifications

High School graduate or equivalent required.

Associate’s degree preferred.

A minimum of two years of medical office experience preferred.
