Healthcare Legal Practice Assistant/Paralegal Shipman & Goodwin LLP has an opening for a Legal Practice Assistant / Paralegal to provide comprehensive administrative and paralegal support to attorneys within the Healthcare Legal Practice Group. This role requires strong experience with legal billing, client and matter intake, document preparation, and file management in a fast‑paced law firm environment. The ideal candidate is detail‑oriented, highly organized, and comfortable handling confidential healthcare‑related legal matters.

Key Responsibilities

Perform heavy legal billing functions, including reviewing, editing, and submitting attorney time entries.

Prepare and process client invoices, ensuring compliance with client billing guidelines and e‑billing systems.

Monitor billing deadlines, write‑offs, and adjustments, and coordinate with attorneys and accounting staff to resolve billing issues and discrepancies.

Client & Matter Intake

Open and maintain new client and matter files in the firm’s practice management system.

Conduct conflict checks and ensure engagement letters are prepared and executed.

Maintain accurate matter data, including billing arrangements and client requirements.

Document Preparation & Management

Prepare, revise, format, and proofread legal documents, correspondence, and templates, including healthcare‑specific agreements, policies, and regulatory filings.

Manage document versions and maintain organized electronic and physical files.

Assist with document production, filing, and service in accordance with court and agency requirements.

Paralegal & Practice Support

Assist attorneys with legal research, regulatory filings, and case support as appropriate.

Maintain and update templates, forms, and precedents used by the Healthcare Practice Group.

Track deadlines and assist with calendar management.

Contact & Database Management

Maintain and update client, referral, and contact databases.

Ensure accuracy of attorney contact lists, healthcare entity information, and key stakeholders.

Administrative Support

Coordinate correspondence, meetings, and communications with clients, courts, and agencies.

Handle confidential and sensitive healthcare and compliance‑related information with discretion.

Support practice group initiatives and special projects as assigned.

Qualifications & Experience

Minimum 2–5 years of experience as a Legal Secretary or Paralegal in a law firm.

Strong experience with legal billing and e‑billing systems (e.g., Aderant, Elite, or similar).

Experience opening clients and matters and managing practice management systems.

Familiarity with healthcare law or regulatory practices preferred.

Excellent written and verbal communication skills.

High level of attention to detail and organizational skills.

Proficiency in Microsoft Office (Word, Excel, Outlook) and document management systems.

Preferred Skills

Paralegal certificate or equivalent experience.

Experience supporting multiple attorneys simultaneously.

Knowledge of healthcare regulatory frameworks (HIPAA, Medicare/Medicaid, compliance matters).

Collaborative team environment within a specialized healthcare law group.

Job Type: Full‑time.

Physical and Other Requirements This position requires the ability to operate a keyboard at efficient speed. While performing the duties of this job, the employee is regularly required to stand, walk, talk or hear. The noise level in the work environment is usually moderate.
