Description We are seeking a detail-oriented and reliable Office Assistant to join our team on a three-month contract during tax season. The primary focus for this role is managing electronic and paper filings for a high-volume of client tax documents. - Organize, scan, and file electronic and paper tax documents for clients in accordance with company procedures and legal requirements.
- Maintain digital filing systems, ensuring all records are accurately labeled, stored, and easily retrievable.
- Collect and assemble documentation from clients as requested by tax professionals.
- Track the receipt and status of client filings, following up as needed to resolve discrepancies or missing paperwork.
- Maintain confidentiality and security of sensitive financial and personal information at all times.
- Provide general administrative support, including copying, data entry, answering phones, and handling incoming and outgoing mail.
- Prior experience as an office assistant, administrative assistant, or similar administrative support role, preferably in a professional services or financial environment.
- Strong attention to detail and organizational skills.
- Ability to manage large volumes of filing and document management tasks to tight deadlines.
- Proficiency with common office software (e.g., Microsoft Office Suite, PDF management tools); experience with electronic filing systems is a plus.
- Strong communication skills and a customer service mindset.
- Ability to handle confidential client data with discretion.
- Comfortable working on-site in an office setting during standard business hours.
