We are looking for a skilled Administrative Assistant to join our team in Gaithersburg, Maryland. Responsibilities:

  • Handle inbound calls professionally, ensuring clear communication and accurate message delivery.
  • Manage and maintain office records, files, and documentation to ensure easy access and organization.
  • Perform data entry tasks with precision to maintain up-to-date information in company systems.
  • Greet visitors and clients in a courteous manner, managing reception duties effectively.
  • Support office operations by coordinating schedules, appointments, and meetings.
  • Collaborate with team members to ensure smooth workflow and timely completion of projects.
  • Monitor office supplies inventory and coordinate replenishment as needed.
  • Prepare reports and presentations as required, ensuring attention to detail and accuracy.
  • Assist in correspondence management, including drafting and proofreading emails and letters.
  • Uphold confidentiality and professionalism in handling sensitive information.

Requirements:

  • At least 2 years of experience in administrative support or related roles.
  • Strong skills in answering and managing inbound calls with attention to detail.
  • Proficiency in data entry with attention to detail and accuracy.
  • Familiarity with receptionist duties, including greeting guests and managing front desk operations.
  • Excellent organizational and multitasking abilities to manage office tasks efficiently.
  • Proficient in using office software and tools for documentation and scheduling.
  • Effective communication skills, both verbal and written.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
