Job Title: Administrative Assistant – Recruitment & Staffing Department: Human Resources (Remote) Job Summary The Administrative Assistant – Recruitment & Staffing provides

administrative and operational support

to the recruitment team by coordinating hiring activities, maintaining recruitment records, and ensuring smooth staffing operations in compliance with company policies.

Key Responsibilities and Duties

Assist the recruitment team with day-to-day administrative tasks

Post job openings on job portals and internal platforms

Schedule interviews and coordinate with candidates and hiring managers

Maintain and update candidate databases and recruitment trackers

Prepare offer letters, interview documents, and onboarding paperwork

Coordinate pre-employment checks and documentation

Support onboarding and orientation processes for new hires

Maintain confidentiality of candidate and employee information

Generate recruitment reports and hiring status updates

Coordinate with staffing agencies and vendors as required

Required Skills & Qualifications

Bachelors degree in HR, Business Administration, or related field

Previous experience in recruitment or HR administration preferred

Proficiency in MS Office (Excel, Word, Outlook)

Strong organizational and multitasking skills

Good communication and coordination abilities

Attention to detail and confidentiality awareness

Preferred Skills

Experience with ATS (Applicant Tracking Systems)

Knowledge of recruitment processes and labor regulations

Ability to work in a fast-paced hiring environment

Key Performance Indicators (KPIs)

Timeliness of interview scheduling and coordination

Accuracy of recruitment records and documentation

Support efficiency to recruiters and hiring managers

Candidate experience feedback

Working Conditions

Office-based / Hybrid role

Standard business hours; extended hours during peak hiring periods
