Part-Time Receptionist – Counselor's Office
Location: Jacksonville, Florida. This part‑time, on‑site role requires you to manage front‑desk reception duties, handle incoming calls with proper etiquette, greet visitors, assist students with inquiries, and perform clerical tasks such as filing, scheduling, and maintaining records.
Pay:
$15.00 – $18.00 per hour

Responsibilities:
Protect patients' rights by maintaining strict confidentiality of personal and financial information.
Greet clients immediately upon arrival with a warm, welcoming attitude and complete check‑in procedures.
Ensure all client paperwork is fully completed, verified, and accurately entered into the system.
Answer all incoming telephone calls promptly and professionally.
Monitor email and website inquiries from clients and insurance companies, providing timely follow‑ups as needed.
Take detailed messages and deliver them efficiently to the appropriate psychotherapist.
Retrieve and respond to voicemail messages from reception and therapist office lines promptly.
Proactively fill same‑day or weekly cancellations with available clients whenever possible.
Retrieve archived charts from the storage unit prior to returning clients’ appointments.
Reschedule patient appointments as necessary.
Enter co‑pays into Simple Practice during in‑office check‑ins or virtual appointments.
Maintain adequate copies of all forms and collateral materials required by psychotherapists.
Schedule appointments while avoiding conflicts and ensuring efficient provider calendars.
Regularly verify insurance eligibility.
Collect and accurately enter all provider charges for services rendered on a daily basis.
Process and review billing reports to obtain all necessary information for accurate insurance billing.
Audit daily charges to ensure all codes are accurate and apply correct billing modifiers when applicable.
Maintain billing records and follow up with insurance companies to ensure timely provider payment.
Remain knowledgeable about all functions and capabilities of the Scheduling and Billing Software.
Perform other administrative or billing‑related duties as assigned.
Skills:
Proven experience in office administration or reception roles with strong organizational skills.
Proficiency in computer literacy including Microsoft Office Suite and data entry tools.
Familiarity with multi‑line phone systems and professional phone etiquette.
Ability to handle clerical tasks such as filing and document management accurately.
Strong customer service skills with a friendly yet professional demeanor.
Bilingual abilities are highly desirable to serve diverse client needs effectively.
Excellent attention to detail and multitasking ability.
Experience in healthcare, mental health, or medical billing preferred.
Familiarity with Simple Practice or similar scheduling/billing software is a plus.
Reliability, professionalism, and confidentiality are essential.
Previous experience in medical or dental receptionist roles is beneficial but not required; training provided for industry‑specific procedures.
