Job description:

We are looking for a proactive and detail-oriented Legal Assistant to join our legal team. The ideal candidate will provide essential administrative support to attorneys and help manage the day-to-day operations of our legal practice. This role requires strong organizational skills, the ability to handle multiple tasks simultaneously, and a commitment to delivering high-quality service to our clients.

Key Responsibilities

Document Preparation and Management:

Draft, revise, and proofread legal documents, including pleadings, motions, contracts, and correspondence.

File legal documents with courts and administrative agencies, ensuring compliance with deadlines and procedures.

Maintain organized and up-to-date physical and electronic case files.

Client Communication and Support:

Communicate with clients to gather information, provide case updates, and answer inquiries.

Schedule appointments, meetings, and court appearances for attorneys.

Assist clients with completing forms and gathering necessary documentation.

Legal Research and Analysis:

Conduct legal research using online databases and resources to support case preparation.

Summarize legal documents, deposition transcripts, and other relevant materials.

Prepare case summaries and chronologies for attorney review.

Administrative Support:

Manage attorney calendars, including scheduling meetings, hearings, and travel arrangements.

Answer phones, screen calls, and take messages for attorneys.

Handle incoming and outgoing mail, faxes, and emails, prioritizing urgent correspondence.

Qualifications

Education:

Associate’s degree or certification in Paralegal Studies or a related field preferred.

Experience:

5+ years experience as a legal assistant, legal secretary, or paralegal assistant REQUIRED.

Familiarity with legal terminology, procedures, and documentation.

Skills:

Strong organizational and multitasking abilities, with attention to detail.

Excellent written and verbal communication skills.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and legal case management software.

Ability to maintain confidentiality and handle sensitive information with discretion.
