Summary

Organize office operations and procedures, control correspondence, design and manage filing systems, review and approve supply requisitions, and monitor clerical functions. Support the executive and management team as necessary.

Essential Duties

  • Ensure quality assurance, such as inputting data for QA reports and conducting quality checks of files.
  • Process and direct mail, incoming packages, or deliveries.
  • Provide clerical supportemail, scan, fax, filing.
  • File supply orders for managers.
  • Maintain and balance office budgets.
  • Maintain inventory.
  • Provide HR support as needed.
  • Manage job postings in UKG Ulti-Pro.
  • Manage and maintain office inventory and supplies.
  • Support executives as needed.
  • Distribute building support materials as necessary.
  • Maintain office equipment and schedule service as needed.
  • Monitor office alarm reports, if applicable.
  • Coordinate and assist with warehouse deliveries, if applicable.
  • Coordinate repair issues with the Property Manager, if applicable.

  • 2+ years of relevant experience preferred.
  • Bilingual (English/Spanish) preferred.
  • UKG experience is a plus.
  • Excellent phone etiquette.
  • Attention to detail.
  • Excellent verbal and written communication skills.
  • Strong organizational skills.
  • Able to multitask.
  • Proficient with MS Office (Word, Excel, Outlook).
