This role is action-oriented, focusing on hands-on execution and operational support while working closely with the Head of DC Operations to implement strategic initiatives and foster a culture of professionalism and hospitality. The Operations Coordinator is accountable for the daily readiness and functionality of the office, proactive logistical support for meetings and events, and the smooth onboarding and communication flow among staff. This position is designed for growth, providing mentorship and exposure to higher-level operations and leadership responsibilities.
Primary Responsibilities
Office Readiness & Administration
Execute daily office readiness checks using detailed checklists (morning and evening), ensuring all spaces (reception, conference rooms, kitchens, caf, bathrooms) are client-ready and meet APCOs standards for professionalism and hospitality (Goal: 100% checklist completion) . Manage supply inventory and restocking of office, kitchen, caf, and bathroom, coordinating with vendors for timely and cost-effective purchasing. Maintain accurate records for supply orders, vendor contacts, and event schedules. Support mail distribution, messenger services, and general office correspondence. Contribute to process improvement initiatives and support cross-functional operational projects as delegated by the Head of DC Operations.
Meetings & Events Coordination
Coordinate logistics for internal and client-facing meetings and events, including venue setup, catering, supplies, and securityensuring zero last-minute issues and positive stakeholder feedback. Prepare conference rooms before and after meetings (arrange furniture, stock supplies, wipe down, test A/V equipment). Serve as the primary contact for event logistics at the coordinator level, collaborating with internal teams and external vendors. Gather post-event feedback and suggest improvements to drive continuous excellence. Support executive and board meetings as directed, including materials preparation and hospitality.
Reception & Hospitality
Provide regular front desk coverage, greeting and directing visitors, and ensuring a positive first impression. Register and restock food and beverages for guests and client meetings.
Administrative Support
Handle all inquiries and communications through the main APCO phone line. Process and handle incoming email requests using the ticketing platform, FreshService. Perform administrative duties, such as copying, scanning, faxing, and document preparation.
Career Development & Performance
Participate in regular progress reviews and mentorship sessions with the Deputy Managing Director and Head of DC Operations to support readiness for long-term growth.
Minimum Qualifications
High school diploma or equivalent. Excellent verbal and written communication skills. Experience in hospitality or office management support. Strong organizational skills, problem solving skills, and attention to detail. Ability to multitask and manage time effectively. Basic proficiency in Microsoft Office Suite and email management. Requires regular physical activity, including lifting and carrying up to 50 lbs, twisting, turning, and standing for prolonged periods. Ability to work a flexible/extended schedule and meet deadlines.
Work Environment
This role is situated in an office setting and involves frequent interaction with staff, visitors, and external vendors. The position requires flexibility to accommodate varying schedules, which may include early mornings, late evenings, or weekend shifts. Adaptability is essential to meet changing priorities and maintain a high standard of service delivery.
Compensation Range
The US base salary for this position ranges from $45,000/year to $48,000/year. Our compensation range for this role is inclusive of several US geographic markets. APCO targets an employee's pay within this range to be based on several factors, which include but are not limited to relevant education, skills, job-related knowledge, qualifications, work experience, credentials, internal equity and/or geographic location.
