About the Position
This position encompasses highly responsible and advanced secretarial and administrative functions designed to assist a key official by managing various administrative tasks. It is differentiated from the second level by its supervisory responsibilities and a greater involvement in the coordination and management of office activities. Individuals in this role are required to apply a thorough understanding of the programs under their supervisor's jurisdiction to resolve procedural and management issues effectively. Additionally, duties at this level and above include addressing highly sensitive and confidential matters. Incumbents operate autonomously under the general supervision of an administrative supervisor, typically at grades G-28 to G-30. Performance assessments are conducted based on precision and the timely completion of projects and assignments, ensuring alignment with organizational objectives.

The Housing Authority of Prince George's County, Maryland (HAPGC) provides Prince George's County residents with low-to-moderate incomes with safe, decent, and affordable housing. The HAPGC receives federal funds directly from the U.S. Department of Housing and Urban Development (HUD) to administer the Housing Choice Voucher program (HCV) and Public Housing Programs. Most of the affordable housing assistance is in the form of rental units that must meet rigorous housing quality standards. The HAPGC also provides its participant families with programs that encourage them to become self-sufficient which may potentially lead to homeownership opportunities. The Housing Assistance Division (HAD) and Housing Choice Voucher Division (HCVD) administer and implement the federal rental assistance and public housing programs for the County. Examples of Work Performs advanced secretarial and administrative duties, encompassing vital liaison and coordination functions that are essential to the smooth operation of the office. Maintains the supervisor's meticulously organized appointment calendar and efficiently schedules appointments for both the supervisor and professional staff as needed, ensuring optimal time management. Notifies the relevant individuals about scheduled meetings, providing participants with essential information and materials in advance, and skillfully prepares comprehensive agendas to facilitate productive discussions. Plans, develops, and organizes methods and procedures to enhance day-to-day office operations, ensuring that processes run seamlessly and efficiently. Takes and transcribes intricate dictation (whether through shorthand or machine), involving specialized technical terminology. This includes drafting correspondence, bulletins, reports, memoranda, speech drafts, formal acceptances or regrets, and various materials on general, specialized, or technical subjects with precision. Utilizes a typewriter, data point, and various automated office equipment to produce well-crafted memoranda, letters, reports, and associated documents with clarity and professionalism. Organizes, coordinates, and disseminates important information to county employees, citizens, civic groups, government officials, and other stakeholders, fostering effective communication and collaboration within the community. Attends management meetings or presentations, meticulously takes notes, and prepares clear and concise minutes that accurately reflect the discussions and decisions made. Must have experience in the Administrative Aide II level equal to the length of the probationary period (9 months). or
Associates degree in Business Administration or Secretarial Science. One (1) year of secretarial/administrative experience which involved working with the public, office management and operational details. Any equivalent combination of relevant training, education and experience
