Why does the job exist?

This position exists to provide exemplary support to the agency and profession of architecture in a fast-moving, stressful environment.

How does it get done?

This position will serve as the first point of contact for New Mexico Board of Examiners for Architects (NMBEA) customers.

The incumbent is responsible for: * Data and records entry into Excel spreadsheets, internal databases, scanning, phot copy hard and electronic files. * Corresponding via email, mail and phone with customers in a small office setting. * Support the Board fiscally though property management, records liaison including archival of personnel records. * Signing for packages and arranging for pick up by requesting parties. * Managing All Internal high-level meetings. * Note taking and transcribing of minutes from High-level Meetings. * Various high-level administrative support as requested.

Ideal Candidate

* Associates degree in Business Administration is preferred. * Significate experience in excel spreadsheets and supporting a high level executive. * Experience working in a fast paced and frequently stressful environment. * Detail oriented and able to work within deadlines. * Professional communication skills and providing customer service. * The ability to multitask, work independently and follow through on all assignments * Experience utilizing Microsoft Suits programs, Microsoft Excel and data entry. * Interpreting statures and rules/familiarly OMA and ULA. * Processing and organizing paperwork and electronic documents.

Minimum Qualification

High School diploma or equivalent and two (2) years work experience in office administration. Any combination of education from an accredited college or university in a related field and/or direct experience in this occupation totaling two (2) years may substitute for the required experience.

Employment Requirements

Pre-employment background investigation is required and is conditional pending results. Must possess and maintain a current Defensive Driving Course Certificate from the State of New Mexico or must pass and receive Defensive Driving Course certification within six (6) months of date of hire as a condition of continued employment.

Working Conditions

State of New Mexico employees may be impacted by the Public Health Order dated December 19, 2022, which requires facilities licensed or certified be the Centers for Medicaid Services ("CMS"), including all hospital types, long-term care facilities, nursing homes, hospice facilities and rehabilitation facilities, as well as assisted living facilities and adult day care setting, to adhere to all COVID-related requirements prescribed by CMS, including but not limited to masking and staff vaccination.

Computer use, long periods of sitting. Some travel may be required. May require overtime at times.
