We’re seeking a sharp, proactive, and highly adaptable Executive Personal Assistant to support a dynamic entrepreneur leading a fast-paced, high-growth environment. This is a unique opportunity for an experienced EA to play a critical role in both business and personal operations, acting as a trusted partner and strategic right-hand. Candidates must be detail-oriented, emotionally intelligent, tech-savvy, and comfortable wearing many hats.
Requirements:
- 5–10+ years supporting a founder, entrepreneur, or C-suite executive
- Experience in both personal and business executive support
- Exceptional organizational, communication, and judgment skills
- Able to work independently with minimal oversight
- Willing to get hands-on with both high-level strategy and day-to-day execution
- Flexible, calm under pressure, and highly responsive
- Familiarity with tools like Slack, Rippling, Deel, Smartsheet, Google Workspace, and social media platforms
Responsibilities:
- Manage a complex calendar with precision, scheduling in 15/30/45/60-minute increments
- Anticipate timing needs and include buffers for in-person meetings
- Book personal and business travel, appointments, and reservations
- Coordinate personal scheduling (e.g., weekly PT and yoga, monthly haircuts and medical appointments)
- Maintain follow-up lists for outstanding invites and meeting responses
- Research and purchase household or lifestyle items
- Track and send thoughtful birthday gifts and other personal touches to contacts
- Create and share posts on social channels to highlight product launches and updates
- Monitor and flag relevant DMs and mentions across LinkedIn, Twitter, and email
- Collaborate with sales to connect with key prospects on social platforms
- React to and manage replies or mentions appropriately
- Run payroll and apply monthly commissions
- Coordinate with legal on administrative filings and contracts
- Support tax prep and virtual mail management for both personal and business needs
- Onboard new hires (prepare offer letters, coordinate laptops, initiate Rippling/Deel setups)
- Manage scheduling and travel logistics for interviews
- Monitor inbox, flag scheduling emails, CC self on responses, and archive when appropriate
- Proactively mark spam or low-priority emails to reduce noise
Schedule: This is a full-time role that will require flexibility beyond regular business hours
Compensation: Up to $250K BOE, healthcare benefits, bonus, PTO
