PACO Group, Inc is supporting the Metropolitan Transportation Authority team for the Second Avenue Subway Phase 2 project, we help drive schedule, cost, and quality objectives on one of the nations most significant transit expansions.
POSITION OVERVIEW Mid-Level Office Administrator
We are seeking a detail-oriented Office Administrator to provide full-time administrative support to the SAS Phase 2 PMC staff. The role is on-site in Manhattan with an immediate start. The selected candidate will coordinate documentation, correspondence, and meeting logistics while safeguarding confidential information and juggling shifting priorities in a fast-paced project office.
Key Responsibilities
- Prepare, proofread, and edit routine letters, business correspondence, meeting minutes, and complex project reports.
- Maintain confidential personnel, contract, and project records in accordance with MTA policies.
- Track incoming/outgoing documents; file and retrieve records to support audits and management requests.
- Coordinate calendars, schedule meetings, and arrange travel or on-site logistics for PMC leadership.
- Monitor office supplies, process purchase requests, and liaise with vendors and building services.
- Assist with invoice coding, expense reconciliation, and basic data entry as directed.
- Support special assignments and provide general administrative assistance to project team members.
- Proven ability to handle sensitive information with discretion.
- Exceptional attention to detail and organizational skills; able to balance multiple deadlines.
- Clear, professional written and verbal communication.
- Strong interpersonal skills for interfacing with engineers, consultants, and agency staff.
- Proficiency with Microsoft Office 365 (Word, Excel, Outlook, PowerPoint); SharePoint experience a plus.
- 57 years of progressive administrative experience, preferably within engineering, construction, or transit-related environments.
- Bachelors degree preferred (business, communications, or related field).
- Demonstrated track record composing, editing, and proofreading business documents of varying complexity.
- Ability to work on-site in Manhattan and adapt to changing project priorities.
