Accounts Receivable Clerk
Location: Baltimore, MD
Schedule: M-F 8am-5pm (1 hr lunch)
Job Summary: The Accounts Receivable Clerk is responsible for supporting the finance and accounting team by ensuring timely and accurate processing of incoming payments and maintenance of accounts receivable records. This role involves daily interaction with customers, internal departments, and external partners to resolve billing issues, collect outstanding balances, and contribute to the overall efficiency of the accounting operations.
Key Responsibilities:
- Generate and send out invoices to customers in a timely manner.
- Process, verify, and post customer payments by recording cash, checks, and credit card transactions.
- Monitor accounts to identify outstanding debts and follow up with customers regarding overdue accounts via phone, email, or mail.
- Reconcile customer accounts and resolve discrepancies in billing or payments.
- Prepare regular aging reports and assist with monthly, quarterly, and annual closing processes.
- Maintain accurate and up-to-date accounts receivable records and files.
- Collaborate with sales, customer service, and other departments to address customer inquiries and resolve billing disputes.
- Assist with preparing documentation for audits as needed.
- Perform other related duties and ad hoc tasks as assigned by management.
Requirements:
- High school diploma or equivalent; associate degree or coursework in accounting or business preferred.
- 1+ years of experience in accounts receivable, billing, or general accounting preferred.
- Proficiency in Microsoft Office Suite, especially Excel; experience with accounting software (e.g., QuickBooks, SAP, Oracle) is a plus.
- Strong attention to detail, accuracy, and organizational skills.
- Excellent written and verbal communication skills.
- Ability to prioritize tasks and meet deadlines in a fast-paced environment.
