Accounting Assistant

The Accounting Assistant will support the Accounting Director in executing essential accounting, payroll, and some human resources functions. This role is critical in ensuring daily financial operations run smoothly, transactions are recorded accurately, and organizational activities align with financial reporting needs. The ideal candidate will thrive in a fast-paced setting, possess excellent communication and analytical skills, and demonstrate a high degree of professionalism when interacting with various internal and external stakeholders. This is a full-time, non-exempt position with occasional scheduling flexibility required.

Key Responsibilities

Accounting Functions:

  • Balance daily activity transactions.
  • Process accounts payable, invoices, payments, credit card purchases, and statements.
  • Manage accounts receivable deposits and maintain records.
  • Reconcile gallery, concessions, and merchandise sales.
  • Track outstanding donor invoices and payments.
  • Support bank reconciliations and monthly general ledger activities.
  • Generate accounting and invoicing reports as required.

Payroll & Human Resources:

  • Process semi-monthly payroll including employee deductions.
  • Maintain employee records and payroll systems.
  • Assist in the management of HR data integrity.

Administrative Support:

  • Generate and distribute tax acknowledgment letters for donors.
  • Uphold money-handling and sales-processing procedures.
  • Ensure accurate and meaningful data entry for financial reporting and analysis.
  • Collaborate with department teams to refine work processes and outputs.
  • Take on additional tasks as assigned.
