Administrative Support Specialist

Whitten Regional Center is an Intermediate Care Facility for Individuals with Intellectual Disabilities (ICF/IID) of the South Carolina Department of Behavioral Health and Developmental Disabilities (BHDD), Office of Intellectual and Developmental Disabilities (OIDD) located in Clinton, SC serving residents with intellectual and developmental disabilities. Job Responsibilities Under limited supervision, provides administrative support for the Facility Administrator and Assistant Facility Administrator at OIDD-Whitten. Assists other areas as needed, and exercises judgment in the application of established office practices and procedures. Reviews content of documents in order to file, sort, copy, and/or determine if documents are completed. Collects personnel action packets (P40s) from all OIDD-Whitten departments for signature by the Facility Administrator and Assistant Facility Administrator and coordinates the approval process within the Executive Suite. Consolidates all approved personnel actions across OIDD-Whitten and delivers to Human Resources (HR) as soon as possible. Keeps a log of all personnel actions processed and submitted to HR to include a copy of the approved P40. Prepares all personnel actions for the Campus Support Department, obtains required approvals, and submits to HR as required. Accurately manages Executive Suite paper flow, center-wide information, and verbal and written communication. Supports Residential in communicating staffing notices to appropriate attendees. Provides information to OIDD-Whitten staff and Central Office when requested (procedures, deadlines, timelines, changes, due dates, etc.). Collects, compiles, and reports data as needed per established procedure/timelines and completes special reports as assigned/required. Maintains OIDD-Whitten operational files and employee information files for Executive Suite direct reports. Transcribes, types correspondences, reports, minutes, schedules, etc., and disseminates/file appropriately. Answers telephone, records messages, and route calls as appropriate for the Executive Suite. Act as a backup to support OIDD-Whitten departments with completion of personnel actions. Performs other duties as assigned. A bachelor's degree may be substituted for the related work experience. Preferred Qualifications A high school diploma and business/secretarial training.
