Position Summary
AGL is looking for a Receptionist to work 30 hours per week (half day Monday, full days Tuesday – Thursday), in our midtown Manhattan office, reporting to our Executive Assistant & Business Manager. This individual will be responsible for greeting and directing visitors, managing incoming calls, and handling a variety of administrative tasks that support daily office functions.
Key Responsibilities
- Warmly greet and assist all visitors and clients, ensuring a positive and professional experience.
- Answer, screen, and route incoming phone calls, taking accurate messages and responding to inquiries as needed.
- Coordinate the receipt and distribution of mail, packages, and deliveries.
- Maintain organized and tidy common areas and supply rooms.
- Schedule appointments and manage meeting room bookings as required.
- Support various administrative functions, such as data entry, filing, photocopying, and scanning documents, and other tasks as needed.
- Assist with onboarding new employees and directing them to the appropriate contacts.
- Provide information to visitors, clients, and staff about office procedures, services, and facilities.
- Liaise with building management, couriers, and service providers when needed.
- Ensure all security and safety protocols are followed for guests and deliveries.
- Manage all catering deliveries, stock kitchens and coffee bar areas.
- Order, organize, and maintain office supplies – manage weekly orders
Required Skills and Qualifications
- High school diploma or equivalent required; post-secondary education in office administration or related field is an asset.
- Proven experience in a receptionist, front desk, or customer service role (1+ years).
- Excellent verbal and written communication skills.
- Strong organizational skills and attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office equipment.
- Professional demeanor, reliability, and a positive attitude.
- Ability to multitask, prioritize tasks, and remain calm under pressure.
- Basic data entry and recordkeeping skills.
- Will be required to lift or move packages, office supplies, or equipment as well as setting up meeting rooms, including rearranging chairs, tables, or presentation materials.

Work Arrangement
This individual will be expected to work in our Manhattan office no less than 30 hours per week on the following schedule: 3 hours on Mondays, 9 hours per day on Tuesday – Thursday. Additional hours/days may be required as needed to support evolving business needs.
