The City of Fort Collins Natural Areas Department is celebrating over 30 years of sharing special habitats like prairies, foothills, waterways, and forests conserved for wildlife and people. There are 52 conserved natural areas and 114 miles of trail with more being added each year. But the preservation of these natural areas doesn't just happen; it's the result of the work of hundreds of volunteers and paid staff who dedicate themselves to these lands in our neighborhoods, around our city, and in our region. The Business Support III
Natural Areas position provides vital customer-service oriented support to the entire Natural Areas Department and surrounding community. Administrative duties, office organization, and effective communication with a diverse array of stakeholders are key components of the role. The Business Support III position serves as the primary point of contact for the community and other City staff, thus must be collaborative, responsive, and take initiative. As part of their role, the BSIII performs customer service duties such as answering the department phone and email. This position manages a wide range of administrative tasks including but not limited to technological support, supply ordering, meeting minutes, confidential reporting, HR processing, financial transactions, and event support. This position also collaborates in support of the Land Conservation and Stewardship Board. This is a great opportunity for a versatile, technologically adept, and detail-oriented administrative professional with a passion for natural areas and conservation. The ideal candidate will have a minimum of five years' related experience or an equivalent combination of education and experience. The Business Support III position is a hybrid role and is required to report on-site at least 4 days per week. This Business Support III
Natural Areas position provides a valuable service to the Fort Collins community in addition to serving as an essential support piece for the department. Essential Duties and Responsibilities Provides responsive customer service to internal and external customers as the entry point for departmental inquiries. Coordinates, administers, and monitors progress of department, division, and/or City processes, programs or projects. May compose and perform detailed editing of memos, letters, correspondences, documents, and reports. Coordinates distribution of information, including DocuSign signatures, and provides assistance to employees, management and/or the general public. May coordinate and schedule special events, department meetings, travel schedules and reservations. Coordinates and oversees office functions and standard operating procedures. Develops, compiles, and maintains files, records, reports, spreadsheets, and databases as requested. Purchases and monitors consumption of office supplies and inventory. Coordinates, administers and manages contracts and services (e.g. uniforms and office equipment). Coordinates and administers special projects as assigned. Conducts research, compiles and prepares records or reports. Performs technical work associated with various business, financial, or budget processes within the department. Acts as liaison to other City offices. May provide administrative support to a board or commissions, internal committees, and City Council ad-hoc committees including agendas and minutes, which may include some regular evening meetings. May conduct financial transactions, such as accounts payable, invoicing, cash reconciliation, journal entries, claims processing, purchase requisitions, or payroll. High level knowledge of standard office software, including word processing and databases, specifically Microsoft Office 365 programs such as Outlook, Word and Excel. Ability to operate more complex software for spreadsheet development. Effective oral and written communication; excellent grammar, proofreading and editing skills. Basic knowledge of accounting and financial concepts, purchasing, budget, and finance management. Ability to establish and maintain effective working relationships with stakeholder groups (e.g. citizens, customers, other agencies, City departments, staff). Ability to take minutes as part of appointed Boards or informal internal committees or boards as assigned, including posting agendas and notices, meeting logistics, meeting minutes, and general group communications. In Water: Ability to work in and knowledge of industrial facilities. Required Qualifications High School Diploma or GED and/or functionally related licenses or certificates. College degree or equivalent work experience. Some positions may require functionally related certification or advanced degrees. Experience Requirements Minimum five years related experience; or equivalent combination of education and experience. Certifications/Licenses/Specialized Training Valid driver's license.
