Job Summary

The Receptionist supports a Platform office as the first point of contact for inbound telephone inquiries and office visitors/guests. Receive and relay messages/telephone calls from internal and external sources. Greet guests/visitors, document information, issue appropriate security passes. Report on security issues. Respond to routine inquiries on office locations, hours of operation, telephone numbers, email/website addresses. Broad knowledge of operational procedures and tools obtained through extensive work experience.

Responsibilities

  • Answer the phone and greet clients and visitors in a professional manner.
  • Accurately direct phone calls and walk-ins to appropriate team members in a courteous and professional manner.
  • Return calls on hold in a timely manner and offer to continue holding or to leave a message.
  • Answer client inquiries, or direct them to the person best able to respond.
  • Take and deliver accurate phone messages, including names and contact information, and relay messages promptly.
  • Maintain a neat and tidy reception area and a professional, comfortable office atmosphere.
  • Open, sort, and distribute mail for agency personnel according to mail distribution practices.
  • Process and send outgoing mail and packages using appropriate shipping services as needed.
  • Monitor agency inboxes to distribute emails, voicemails, and faxes to the appropriate team member.
  • Maintain inventory of office supplies.
  • Print, scan, copy, and fax documents as needed to assist team members.
  • Perform routine and ad-hoc support tasks and other agency functions as required.

Requirements

  • Proven work experience as a receptionist, front office representative, or similar role.
  • Proficiency in Microsoft Office Suite.
  • Hands-on experience with office equipment.
  • Professional attitude and appearance.
  • Strong written and verbal communication skills.
  • Resourceful and proactive when issues arise.
  • Excellent organizational skills.
  • Multitasking and time-management abilities with the ability to prioritize tasks.
  • Customer service oriented.
  • Ability to function independently and as part of a team.

Education/Experience

  • High school diploma or recognized equivalent is required.
  • Experience in customer service or the insurance field is preferred.
  • Familiarity with a multiline telephone system.

Physical Demands

  • Position entails sitting, talking, writing, reading, reaching, computer entry, and typing.
  • Occasional travel required with some overnight trips; must have access to reliable transportation.
