Position Overview: We are seeking a detail-oriented and empathetic Administrative Coordinator to provide essential HR-like support as a volunteer. In this role, you’ll focus on administrative duties, creating smooth onboarding experiences for new team members (volunteers and staff), and ensuring everyone has the tools, resources, and guidance they need to succeed. This position is ideal for someone with organizational skills and a heart for non-profit work, helping us build a strong, connected team without the overhead of a full HR department. Your contributions will directly enhance our ability to support local communities and international partners in Peru and Bolivia. Key Responsibilities: Manage administrative tasks such as scheduling meetings, organizing documents, tracking volunteer hours, and maintaining team records (e.g., using tools like Google Workspace or shared drives). Design and lead onboarding processes for new volunteers and team members, including welcome packets, virtual orientations, role introductions, and access to necessary resources (e.g., training materials on our mission and South American partnerships). Ensure team members have what they need by conducting regular check-ins, distributing supplies/tools (digital or physical), and addressing basic support requests (e.g., IT setup or policy clarifications). Help develop simple HR policies tailored to our volunteer-driven model, such as volunteer agreements, remote work guidelines, and cultural sensitivity training for international collaboration. Support compliance with basic non-profit standards, like data privacy for global teams or volunteer background checks if needed. Collaborate with leadership to improve team efficiency, such as creating team profiles (using our existing template) or organizing virtual team-building events. Assist with volunteer management, including recognition efforts to keep morale high. Qualifications: Experience in administrative support, HR, or onboarding (1+ years preferred, but enthusiasm and transferable skills from office or volunteer coordination welcome). Strong organizational and communication skills, with the ability to handle multiple tasks in a remote, flexible environment. Familiarity with non-profit operations, volunteer management, or tools like Google Workspace, Trello/Asana, or Zoom. Passion for our mission in education, mental health, and community development, with an interest in supporting diverse, international teams (bilingual English/Spanish a plus for Peru/Bolivia work). Empathetic and proactive approach to helping others feel supported and valued. Ability to maintain confidentiality and ensure inclusive practices.
