Position Overview
As a vital member of the 32BJ team, the Administrative Assistant for New York Metro plays a crucial role in providing comprehensive support across various functions. This includes assisting with logistics for events and contract negotiations, and with the management of office operations. The focus will be on enhancing efficiency, ensuring smooth communication, and supporting data-driven decision-making. This role is one of three Administrative Assistants reporting to the Operations Coordinator. We are seeking a highly organized individual with strong customer service skills, capable of handling multiple tasks and maintaining confidentiality. The ideal candidate will thrive in a collaborative, mission-driven environment that values diversity, innovation, and the exchange of ideas.

DUTIES AND RESPONSIBILITIES

  • Member Traffic Management:
    • Help manage member traffic to the district office
  • Grievance Support:
    • Distribute settlement checks and prepare grievance-related communications.
  • Data and Metrics Support:
    • Support data systems and generate participation reports from Microsoft Teams and other platforms.
  • Administrative Support:
    • Manage invoices, food orders, mass mailings, and create labels/badges for events.
    • Order and maintain inventory of office supplies and visibility materials.
    • Organize shared spaces and troubleshoot office equipment as needed.
  • Event Logistics:
    • Assist with event logistics for rallies, meetings, trainings, and conferences.
    • Schedule and manage Microsoft Teams meetings and presentations.
  • Contract Negotiations:
    • Assist with materials preparation for master and smaller contracts and manage logistics for negotiations, including lost time payments for committee members.

QUALIFICATIONS

  • 2 – 4 years of administrative or operations experience
  • Strong customer service skills with the ability to treat members with care, friendliness, and compassion.
  • Excellent verbal and written communication skills, including effective business writing.
  • Proficiency in MS Office (Word, Excel, Outlook, PowerPoint) and ability to learn internal data and workflow systems.
  • Ability to manage multiple tasks and responsibilities efficiently.
  • Ability to handle confidential material and information professionally.
  • Ability to work as a part of a team.
  • Previous experience working for a labor organization is a plus.

WORK ENVIRONMENT AND PHYSICAL DEMANDS

  • This position may require work outside of standard business hours. All staff members are expected to participate in Union events or activities, which may take place on-site or at other locations.
  • Ability to work in high pressure environments
  • Ability to lift up to 10 lbs and stand for long periods during member events.
  • Dynamic, flexible, adaptable, and ability to work with staff at all levels

Additional Qualifications:

  • Experience with and commitment to social justice issues is a plus
  • A Notary Public license is a plus
  • Bilingual English/Spanish or English/Albanian is highly preferred

COMPENSATION & BENEFITS

The salary for this role is $56,398. 32BJ provides a generous benefits package that includes a fully employer-paid medical, dental and vision plan, for full-time employees and their qualified dependents. We offer retirement benefits, including both a defined benefit pension plan and 401K.
