Job Description
As an Administrative Assistant at One Day In July, you will be responsible for various administrative duties to support the firm, including working closely with our clients and Compliance and Operations teams.
You do not need prior financial industry experience, though you should demonstrate why you are exceptional in your application. We will provide on-the-job training.
In this role, you will
- Coordinate the purchase and organization of office supplies.
- Prepare outbound mail to be sent to clients and distribute incoming mail internally.
- Serve as “Front Desk Reception,” greeting guests to the office and assisting them in settling in for their meetings, receiving packages, etc.
- Field incoming calls from both prospective and existing clients.
- Provide clerical and administrative support to the firm overall. Duties will include:
- Coordinate with clients to complete various paperwork and other tasks.
- Prepare for client meetings, including making sure all necessary paperwork is printed and ready.
- Update client records and organize communications.
- Identify various anomalies or errors and take corrective action as needed.
- Prioritize and track items that need to be accomplished while managing deadlines.
- Coordinate communications and workflows with Advisors and others in the firm.
- Organize a great deal of paperwork and digital files.
A strong candidate will

- Be able to “wear multiple hats” and quickly adapt to changing priorities.
- Have excellent computer skills: Excel, Word, Gmail, and web browsers.
- Focus on processes and controls with the ability to understand and assess risk.
- Possess a positive attitude, tremendous grit, and ability to prioritize.
- Have a commitment to maintaining confidentiality and ethical standards.
