Overview
Our client, a top media and entertainment company, is looking for an administrative assistant for their Lake Buena Vista, Florida office. This role is ideal for an administrative professional who thrives in fast-paced environments and enjoys keeping teams organized, connected, and moving forward. As the Project Admin/Secretary, you’ll be at the center of communication, scheduling, and logistics — helping ensure smooth operations with professionalism and discretion. You’ll collaborate with project leaders, manage daily priorities, coordinate travel, set up meetings, handle expense reports, and maintain office resources.
Responsibilities
- Serve as primary contact for all communication, handling interactions professionally
- Manage calendars, coordinate meetings, and plan travel for project team members
- Track priorities, action items, and follow through on deadlines
- Provide office administration support including filing, expense reports, SAP workflow, and supply management
- Set up and tear down conference rooms; support executive site walks and visitor logistics
- Monitor custodial services and escalate issues when needed
- Uphold confidentiality, discretion, and diplomacy in all matters
Contract Details
- Onsite Requirements: Onsite Monday–Friday each week (occasional overtime possible with approval)
- Start Date: January 5, 2026
- End Date: January 4, 2027 (12-month contract)
- Schedule: 8:00 AM – 5:00 PM
- Compensation: $22.50/hour
- Type: Full-time, non-exempt (eligible for overtime pay)
Required Qualifications
- Minimum 3 years of proven administrative experience in a corporate or project team environment
- Strong communication skills (written, verbal, interpersonal) with a team-oriented mindset
- Highly organized with the ability to manage multiple tasks, competing demands, and shifting priorities
- Proactive and self-motivated with excellent judgment and discretion
- Computer proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and ability to adapt to new technologies (MAC, iPhone, iPad)
- Flexibility to adjust schedule when needed (early mornings/late evenings)
- Strong interpersonal skills to work with all levels of management
Preferred Qualifications
- Experience with Keynote, Workday, teleconferencing, Adobe Acrobat Pro, or Visio
- Spanish language skills
- Bachelor’s degree (preferred, not required)
