Summary

The Accounting Specialist supports the accounting function by processing accounts payables and accounts receivables. This role reports to the Controller and assists with billing, deposits, and other financial activities in a high-volume, fast-paced environment.

Essential Functions

  • Process accounts payables and receivables in a high-volume, fast-paced environment
  • Assist with billing, deposits, and other financial activities
  • Receive, record, and bank cash, checks, and vouchers
  • Perform financial calculations (e.g., interest, balances, discounts, equity, and principle)
  • Use specialized accounting software to debit, credit, and total accounts
  • Prepare bank deposits and verify receipts
  • Issue bills, invoices, account statements, and financial reports
  • Draft and update procedures for receivables, payables, and client remittances (subject to Controller approval)
  • Maintain a high level of accuracy and attention to detail in all financial transactions
  • Work independently and manage multiple priorities under tight deadlines
Position Requirements

Required Technical Skills
  • QuickBooks Desktop - Must be proficient in navigating and using QuickBooks Desktop for daily accounting tasks
  • Microsoft Excel - Comfortable with formulas, pivot tables, and data validation for financial reporting and reconciliation
Preferred Education and Experience
  • Minimum 3 years in accounting/bookkeeping
  • Knowledge of standard AR/AP procedures
  • Degree in accounting
Competencies
  • Mathematical Skills: A solid grasp of basic math is necessary for calculations, reconciliations, and managing financial records.
  • Bookkeeping and Accounting Knowledge: A fundamental understanding of basic accounting principles, debits, credits, and accounts payable/receivable processes is essential.
  • Data Entry: Strong data entry skills are crucial, as AR/AP clerks process a large volume of financial data.
  • Software Proficiency: Hands-on experience with accounting software
  • Attention to Detail: The ability to scrutinize invoices and financial records for accuracy and resolve discrepancies is vital for preventing errors and overpayments
  • Organizational Skills: Strong organizational skills to manage multiple financial records, process numerous transactions, and meet strict deadlines.

Physical/Mental Demands
  • Physical Demands - While performing the duties of this role, an employee is frequently required to sit, talk or hear, in person and by telephone; use hands to operate standard office equipment; reach with hands and arms. The employee is occasionally required to stand and walk and to lift and carry reports and records weighing up to 20 pounds. Specific vision abilities required by this job include close vision and the ability to adjust focus.
  • Mental Demands - While performing the duties of this role, employees are regularly required to use written and oral communication skills; read and interpret data, information, and documents; analyze and solve problems; observe and interpret situations; learn and apply new information or skills; perform highly detailed work on multiple, concurrent tasks; work under intensive deadlines; and interact with vendors and staff in the course of work.
Security Clearance Requirements
  • Must be able to pass Federal background screening and/or state level criminal background screening.
