Schmid & Voiles, the dedicated law firm for the Cooperative of American Physicians, Inc., provides legal defense services for physicians in California. The firm specializes in managing liability insurance defense litigation and trial preparation for physicians facing lawsuits.
We are seeking a Legal Secretary III / Administrative Assistant with strong litigation and trial preparation experience to support our attorneys in defense trial cases, particularly in the medical liability insurance sector. The ideal candidate will have hands-on experience in California Civil litigation and be highly organized, proactive, and detail-oriented.
Key Responsibilities:
- Maintain attorney calendars, tickler systems, and schedule court appearances, client meetings, and expert consultations.
- Review, organize, and re-index incoming mail and manage electronic legal files.
- Prepare, file, and manage discovery, pre-trial, and trial documents.
- Draft and transcribe legal correspondence, pleadings, reports, and summaries.
- Coordinate all aspects of discovery for both plaintiffs and defendants.
- Maintain current knowledge of California court rules and procedures.
- Provide legal secretarial support across the department and assist in special projects.
- Perform general office administration including mail handling, supply management, and liaison with building services, IT, and office services.
- Support attorneys with trial preparation and litigation management in coordination with the client’s liability insurance defense strategy.
Qualifications:
- High school diploma or GED required (Associate’s or Bachelor’s degree preferred).
- 4–7 years of defense trial litigation experience in the insurance or related industry.
- 3+ years of recent California Civil litigation experience.
- Strong knowledge of California court procedures and filing requirements.
- Proficiency in MS Word; familiarity with case management software.
- Ability to type 70+ WPM with accuracy.
- Excellent organizational, communication, and multitasking skills.
- Ability to work independently with strong initiative.
