Job Description: Reynolds is one of the largest community colleges in Virginia and serves Virginia's capital city and five nearby counties. Annually, our four campus sites serve approximately 13,000 credit students and provide training for 7,400 students through the Community College Workforce Alliance. Reynolds is seeking a full-time Events Coordinator.
The Events Coordinator manages event scheduling, facility rentals, and logistical support for college-sponsored events. The primary responsibility is overseeing the Ad Astra Event Scheduler platform, including reviewing and approving requests, communicating needs to campus service providers, and maintaining accurate information on event spaces, resources, calendars, and workflow settings. The Coordinator ensures updates and changes are shared promptly to keep all parties aligned.
The role also manages the facility rental process, handling inquiries, conducting site visits, preparing agreements, and coordinating with clients to confirm event details. In addition, the Events Coordinator assists with maintaining the Event Services website to ensure content is accurate, current, and accessible to internal and external audiences.
Beyond scheduling and rentals, the Events Coordinator supports and often leads the planning and execution of college-sponsored events, providing hands-on assistance to deliver seamless operations and high-quality experiences for attendees.
Minimum Qualifications:
Knowledge, Skills, and Abilities Understanding of event planning principles, facility rental procedures, and industry standards, including contracts, insurance requirements, and budgeting. Familiarity with event scheduling software (Ad Astra preferred) and proficiency in Microsoft Office Suite, with the ability to learn specialized platforms quickly. Strong organizational and time management skills to handle multiple events and deadlines in a fast-paced environment. Excellent verbal and written communication skills for effective interaction with stakeholders, clients, and vendors. Ability to coordinate events from planning through execution while maintaining accuracy in scheduling systems and records. Skilled in problem-solving, conflict resolution, and adapting to changing priorities or last-minute challenges. Professionalism under pressure with the ability to work independently or collaboratively as part of a team. Commitment to strong customer service and relationship management. Physical ability to lift, move, or arrange event materials and equipment as needed. Additional Considerations:
• High school graduate or equivalent required • Three years related conference, facility, and/or special events experience • Experience with the Ad Astra Scheduling platform
