Responsibilities
The Administrative Associate functions as the primary contact person for the Institute for Governance and Civics. This position provides critical administrative support for the Institute, including assisting with scheduling, HR, procurement, and Travel activities.
Serves as a primary point of contact for IGC branch heads and staff to fulfill requests for meeting and event scheduling, travel arrangements, purchasing requests, and other department operations (ex. facilities, ITS). Organizes, distributes, and monitors these requests until fulfilled. Schedules logistics and secures resources for meetings, conferences, travel, and work unit operations. Assists with the coordination of non-routine and special activities/events for IGC. Assists with travel for staff and visiting speakers and researchers. Serves as a primary point of contact for individuals, groups, and departments and provides organizational information via phone, in person, and through other communication mediums. Develops, sends, receives, copies, and distributes communications to the appropriate entities according to established policies and procedures. Assists with procurement purchasing transactions and other expenditures per policies and procedures. Serves as the backup p-card proxy. Assist with HR tasks for IGC including time and leave entry/tracking, appointment processes, and payroll.
Qualifications
High school diploma or equivalency and four years experience or a combination of post high school education and experience equal to four years.
