Responsibilities

This position is responsible for providing transactional financial and administrative support to the University Business Administrator (UBA) Program for all participating UBA client sites and the UBA Central Office. Project assignments and locations will vary depending on the needs of the UBA client sites.

Utilizes the procurement module to work with UBA client sites to purchase goods and services. Enters unencumbered payment requests (ePRF) and serves as a power receiver to receive for procurement of goods and services. Serves as a P- Card Proxy. Confirms that all transactions are appropriate and follow University- related guidelines. Responsible for providing an accurate description of goods purchased and verifies the budget information for the P-Card charges. Codes the charge information of cardholders to appropriate accounts to finalize for entry into OMNI. Assist with account payables functions. Assists UBA client sites with travel actions which may include entering travel authorizations and expense reports. Ensures requests for travel reimbursements contain appropriate documentation. Assists UBA client sites by initiating HR activities which may include personnel actions, time and leave entry, recruiting processes, onboarding and separation paperwork, and mass appointments. Attends university Department Rep Meetings and HR Forums. Assists UBA client sites with reconciliations of general ledgers. Compares internal records to OMNI departmental ledger reports on a monthly basis to ensure that only appropriate transactions have been recorded in the ledger. Identifies any outstanding reconciling items and reports to site leader on discrepancies. Assists with auxiliary billing at client sites. Stays up-to-date on university financial practices by attending trainings and Financial Rep meetings.

Qualifications

A high school diploma or equivalent and four years of experience. (Note: post high-school education and/or experience may substitute at a comparable rate.)
