Private Property Manager
Our client is a dynamic and growing family-owned estate management company overseeing a portfolio of properties in the beautiful Bay Area. Their residences range from urban homes to coastal retreats, each with its unique charm and features. Our client is seeking an experienced and hands-on Private Property Assistant | Property Care Specialist to join their team and ensure the seamless operation and maintenance of multiple properties.
The target candidate for this special opportunity lives within a commutable distance of Palo Alto, California, has 3-5 years of private property management experience, is a self-starter, and has a warm and friendly personality.
The hired candidate will report to the Director of Properties and principals.
Monday-Friday: must be flexible to accommodate after-hours emergencies (which are said to be quite rare)-occasional weekends. 8:30 am - 5pm, but flexibility is key Local candidates only. Please know this position will take you to SF, Palo Alto, Woodside. Please note: this is not a position for a residential or commercial property manager focused on leases or full lifecycle management. We are seeking a former Houseman or estate Property Manager with hands-on experience, strong knowledge of the trades, and an understanding of how high-end households operate. The right candidate will be comfortable rolling up their sleeves to keep everything running smoothly. Please only apply if you have this specific background.
Responsibilities:
Interact with property owners in a professional and approachable manner. Conduct weekly walk-throughs and house checks, assessing the cleanliness and functionality of all interior spaces. Perform weekly inspections of the exterior of all buildings. Demonstrate a keen eye for detail in all aspects of property care. Complete a monthly inventory of all household needs. Update inventory and house checks as needed. Use and update household manuals regularly. Maintain detailed vendor notes, including who/when/what/why information. Keep the manager informed of all client communications, needs, or changes. Be hands-on and open to various tasks (cleaning spills, moving furniture, disposing of dead mice, etc.) Lift up to 40 lbs and be willing to access roofs, attic areas, basements, etc.. Have a basic understanding of property features, including solar and pool operations, HVAC, and smart home technology. Regularly inspect and ensure the proper functioning of all property systems. Perform and/or arrange for preventative maintenance. Being handy and having familiarity with construction terms is a big plus. Coordinate and manage repairs, building, and landscaping work performed by vendors. Work with vendors in a warm and friendly manner while knowing when to question or push back. Open to driving to all Bay Area properties, occasionally on short notice. Regularly visit coastal property and assist in managing all aspects, including repairs and contractors. Ensure residences are event-ready and assist with set up/breakdown as needed. Read people effectively, knowing when to be chatty versus professional/concise. Coordinate with the manager to ensure best practices are followed. Manage calendar updates, emails, and texts efficiently. Work closely with the Family Office on special projects and administrative duties. Requirements:
Proven experience working as a property manager or houseman in private estates. Excellent communication and organizational skills. Ability to adapt to a dynamic work environment. Valid driver's license, good driving record, and reliable transportation. The candidate must sign an NDA and pass a rigorous background check. Must be fully vaccinated for COVID. Must be a non-smoker/vaper! Must love dogs! Compensation:
