Description

The Cabinet for Health and Family Services (CHFS) is one of the largest agencies in Kentucky state government,with nearly 6,500 full- and part-time employees located across the Commonwealth focused on improving the livesand health of Kentuckians. The Division of Regulated Child Care (DRCC) is one of three divisions within theCHFS Office of Inspector General. DRCC is responsible for licensing and certification of child-care providers,as well as residential child caring facilities and child placing agencies. DRCC also investigates complaintsagainst these facilities, ensuring that proper regulatory action is in place. This Division plays an intricatepart in the health, safety, and welfare of Kentucky's children.

This position provides professional support to the Human Services Program Branch Manager and Surveyors of theDivision of Child Care, Western Enforcement Branch. This position is an office position with alocation in Hopkinsville (Christian Co.), KY.

RESPONSIBLITIES AND DUTIES: Assists in updating spreadsheets for tracking survey packets. Reviews surveys for accuracy and enters survey notes into databases for closures, covid-19, etc. Uploads survey data into SharePoint. Serves as point of contact for Branch, answers phone, assists callers with questions and refers callers to appropriate staff. Tracks certified mail, processes, and distributes incoming mail and faxes. Responsible for ordering, purchasing, inventory and distribution of office supplies. Assists with new employee orientation, assures new hire packets are completed and submitted timely. Schedules meetings and interviews for staff. Maintains and updates mail and report log and sends out correspondence. Tracks of cell phones, laptops, desktops, and Branch equipment inventory. Responsible for obtaining staff submission of health screenings, trainings, and monthly reports. Serves as payroll and timekeeper for Branch and as Liaison to Central Office. Other duties as assigned. Preferred knowledge and skills:

Excellent communication skills. Experience with multi-tasking. Organizational skills. Attention to detail. Time Management Skills - can work independently as needed. Experience working in a team environment. Computer Skills - knowledge of Microsoft Office Suite, Adobe, and Outlook preferred. Minimum Requirements

EDUCATION: Graduate of a college or university with a bachelor's degree.

EXPERIENCE, TRAINING, OR SKILLS: Three years of professional, administrative, or business experience.

Substitute EDUCATION for EXPERIENCE: Additional education will substitute for the required experience on a year-for-year basis.

Substitute EXPERIENCE for EDUCATION: Additional administrative, business, research, and/or clerical experience will substitute for the required education on a year-for-year basis.

Working Conditions

Incumbents working in this job title primarily perform duties in an office setting.

Probationary Period

This job has an initial and promotional probationary period of 6 months, except as provided in KRS 18A.111.
