A leading global investment advisory firm is seeking a highly organized and energetic Executive Assistant to support a team of five executives. This is an excellent opportunity for a rising administrative professional with 2–3 years of experience who is eager to grow in a fast-paced, client-facing environment. Finance industry experience is preferred but not required. Location : San Francisco, CA (Hybrid: 4 days onsite / 1 remote) Hours
Standard business hours | 8am-4pm or 9am-5pm PT Salary
$95,000 base + paid overtime, bonus, and benefits Key Responsibilities
Executive Support : Provide high-level administrative support to five senior bankers, managing competing priorities with speed and accuracy Own complex calendar management and scheduling across multiple time zones Coordinate domestic travel arrangements, including flights, hotels, ground transportation, and itineraries Prepare and submit expense reports in a timely and accurate manner Assist with meeting preparation, including compiling agendas, briefing materials, and client presentations Client & Team Coordination : Serve as a point of contact for clients, investors, and internal stakeholders, demonstrating professionalism and discretion in all communications Support client meeting logistics, including scheduling, follow-ups, and documentation Assist with coordination of team events, offsites, and client dinners as needed Administrative Operations : Track and process expenses and reimbursements, ensuring adherence to company policies Maintain internal records and databases, ensuring information is current and accurate Provide ad hoc administrative support to the broader team as needed Qualifications
2–3 years of administrative or executive assistant experience in a fast-paced corporate environment Experience supporting multiple executives simultaneously preferred Background in finance, banking, or professional services strongly preferred but not required Exceptional organizational and time management skills with the ability to prioritize effectively Strong written and verbal communication skills with excellent client-facing presence Tech-savvy and proficient in Microsoft Office and Google Workspace; familiarity with Concur a plus Energetic, proactive, and collaborative with a “no task too big or too small” mindset We will consider qualified candidates with criminal histories in a manner consistent with the requirements of the San Francisco Fair Chance Ordinance.
