Overview

The Executive Assistant will provide high-level administrative support to NATSO’s CEO and Chief of Staff, handling a broad range of organizational, communication, and project management duties. This role is essential for ensuring efficient office operations and supporting key strategic initiatives.

Responsibilities

  • Manage executives’ calendars, including scheduling meetings, appointments, travel, and events. Arrange complex domestic travel logistics and accommodations.
  • Prepare and organize correspondence, reports, presentations, and other documents.
  • Coordinate and prepare materials and logistics for meetings, including agendas and minutes; track follow-up actions.
  • Manage expense reports.
  • Collaborate with multiple departments to ensure administrative functions and systems align with organizational priorities.
  • Provide excellent customer service to staff, members, volunteers, vendors and other stakeholders.
  • Maintain confidentiality of sensitive information and use discretion in all communications.
  • Support project management by coordinating tasks, timelines, and deliverables as needed.
  • Conduct research and compile data to support decision-making.
  • Assist with special projects and other duties as assigned.

Qualifications

  • Minimum of three years’ experience as an executive assistant, administrative assistant, or in a similar role.
  • Excellent organizational, time management, and multitasking abilities.
  • Superior written and verbal communication skills, with the ability to compose, edit, and proofread materials professionally.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and common office technology.
  • Exceptional attention to detail in all aspects of work, including documentation, editing, and recordkeeping.
  • Strong organizational skills, including the ability to establish priorities and meet multiple deadlines.
  • Ability to maintain confidentiality and exercise discretion.
  • High school diploma required; Associate or Bachelor’s degree preferred.
  • Ability to work onsite at NATSO’s Alexandria, Virginia office, five days per week
