The Herbert Wertheim College of Medicine is currently seeking a Manager of Administrative Services to join our team of professionals at the Graduate Medical Office located in Baptist Hospital in Kendall. Duties

Acts as the primary liaison between program leadership and administrative operations, facilitating informed decision-making through detailed financial analysis and reporting while coordinating multi-faceted program needs including equipment procurement, inter-institutional collaborations, and away rotation logistics. This position encompasses comprehensive responsibility for maintaining program financial integrity while supporting the educational mission through effective budget administration and contract compliance. Manages, monitors program operational allocations and expenses to ensure fiscal responsibility. Provides regular financial reports to program directors to support strategic budget management decisions. Develops budget recommendations and assists program directors with financial planning initiatives. Ensures all Program Letters of Agreement (PLAs) are accurate, current, and properly maintained. Develops and implements standardized processes for executing contracts, PLAs, Medical Affiliation agreements (MAs), and Training Site Agreements (TSAs). Establishes and maintains comprehensive tracking systems for contract expiration dates and renewal requirements. Coordinates contract renewals to ensure uninterrupted program operations and ensures contractual compliance across all residency and fellowship programs. Liaises with the financial operations team to process vendor payments, professional development reimbursements, and annual trainee memberships. Provides guidance and instruction to trainees on travel and expense reimbursement policies and procedures. Liaises with the financial operations team on the management of the procurement processes for equipment and supplies across multiple programs. Serves as liaison with Baptist Health Academics Operations and oversees purchases of new IT equipment for staff and program needs. Manages visiting and away rotator processes, including logistics arrangements. Collaborates with the Education Coordinator to arrange away rotation logistics and facilitates coordination with external institutions and programs. Explores and secures additional funding sources for GME programs, including grants and partnerships. Identifies opportunities for financial optimization and cost-effective resource allocation to support FIU OGME sustainability through diversified funding strategies. Performs other related duties as required or directed. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position. Bachelor's degree in business or related field and four (4) years related business or administrative experience, or Master's degree in business or related field and two (2) years related business or administrative experience. Job Category
