Job Summary

The Herbert Wertheim College of Medicine is seeking a Program Manager to join our team of professionals.

Responsibilities

Manages academic scheduling for the PhD Program. Assists course directors with the design and implementation of the course curriculum and teaching modalities. Assists faculty and course director in constructing and administering assessments, and reporting course grades.

Serves as a liaison between the Director of the PhD Program and the Chief Administrative Officer of the Office of Academic Affairs, other HWCOM members, FIU departments and colleges, and other organizations as appropriate.

Acts as a point of contact for current and prospective graduate students, providing high level customer service via phone, email and in person. Tracks, follows up and resolves student issues. Liaises between PhD students and the University Graduate School as needed. Coordinates and supports logistics for international and domestic new students.

Manages activities such as orientation and meetings with HWCOM faculty and other venues to foster a high level of customer service. Coordinates recruitment activities with the PhD recruitment committee.

Processes all necessary paperwork for admissions, registration, graduation, employment contracts, employment verification and faculty credentialing for the PhD Program.

Manages the PhD student contract process and tuition disbursements.

Coordinates administrative functions and provides administrative support to the PhD Program and Basic Science Research.

Tracks and monitors PhD Program alumni. Reports on PhD data to HWCOM, FIU Central and regulatory agencies. Prepares data for submission of reports to the Office of Planning and Accountability.

Oversees recruitment efforts for the PhD in Biomedical Sciences program. Travels and attends events representing HWCOM and the program.

Oversees updates and management of the PhD in Biomedical Sciences Program webpage. Ensures content is accurate and up to date.

Provides administrative support to the Director of the program as required.

Manages the financial aspects of the PhD program, including expense management, budget preparation and monitoring. Reports on financial data as requested.

Serves as the University's credit card user for departmental transactions and adheres to University credit card policies and procedures.

Performs other related duties as required or directed.

Minimum Qualifications Bachelor's degree in an appropriate specialization and four (4) years of related experience, or Master’s degree in an appropriate specialization and two (2) years related experience.

Desired Qualifications Proven experience in a medical school environment or healthcare/research management preferred. Grant training experience preferred.
