Overview
Operations Administrative Specialist – Office & Admin Specialist Sr role at State of Minnesota. Location: St. Paul. Telework eligible: Yes (up to two days per week). In-office: three days per week. Responsibilities
Manage calendars, prepare communications, schedule meetings, develop agendas Independently respond to requests for program information and screen and route calls to other staff members Prepare charts, graphs, slides, and fiscal or budgetary reports Maintain the administrative area of data practices and retention for the Office of Cannabis Management (OCM) Prepare and track purchase orders, process expense and travel approval requests, and resolve purchasing issues Minimum Qualifications
To facilitate proper years of service crediting, ensure that your resume clearly describes your experience in the areas listed and indicates the beginning and ending month and year for each job held. Knowledge of accounting principles and practices sufficient to analyze, interpret, and prepare financial information, records, and reports Knowledge of clear and concise communications to explain governing rules and regulations Skill in database management to maintain electronic or paper files for efficient organization and retrieval of information Skill in using spreadsheet applications (e.g., Microsoft Excel or Google Sheets) to enter, compile, store, and retrieve data Skill in word processing to prepare, edit, and finalize emails, memos, reports, and other documents with proper grammar and formatting Ability to accurately input, verify, and edit electronic data to identify errors and ensure completeness Ability to develop, modify, and evaluate administrative and program procedures to maintain effective data retention Preferred Qualifications
Two years of administrative support experience (e.g., as an administrative assistant or office manager) Familiarity with Minnesota State policies, procedures, rules, and regulations Knowledge or experience with state accounting procedures (budget requests, expense reimbursements, budget transfers, purchasing requests) Commitment to celebrating diversity and maintaining a respectful and inclusive work environment Ability to provide training on program policies, procedures, and administrative materials Additional Requirements
